Do any of you have experience with Music Teachers Helper or other similar programs? I feel like I’m struggling to find a way to manage the organizational/financial side of teaching and I’m hoping some of you may have some ideas or experience that might help. My studio ballooned from 15 to 40 students my first year – which was thrilling, but I quickly realized the little systems I’d worked up for organizing all the details the need tracking and managing just weren’t going to cut it. I’ve tried various spreadsheets and programs like Quickbooks, but nothing feels exactly suited to what I need, so I feel like I’m continually re-inventing the wheel. Is it just wishful thinking, or is there something out there that’s tailored to music studios that can help keep everything organized, all in one place? I’m intrigued by Music Teachers Helper and yet wary of yet another expense that doesn’t quite live up to its promises. You can share your thoughts with me off list.

I have been using Music Teacher’s Helper since March, and for the most part I really like it. I have developed a website through their templates, which is very useful. It has really helped me keep track of tuition payments, and it has other really useful features. I have found a couple of minor quirks, but it is pretty easy to use and I would recommend it.

I really like Music Teacher’s Helper. I have been using the calendar and bookkeeping, but I don’t have the website completed yet. I would definitely recommend it.

I feel your pain. I too think it is a wish to have systems and accounting set up for music teachers. You can use Music Teachers Helper for free, although limited to five students records however, can give you an idea of what or how it works.
Have you tried xero.com?
Maybe a spread sheet is the best way to go, I know of a few accountants who still use this and find them most effective.

For a growing and busy studio like yours, you should consider getting assistance from a business/office manager. It is very important to set up the accounting side of the business as well as the administrative/organizational side based on your needs and the areas you need to track financially to make decisions about your business. Once systems are in place you can focus on what you do best, ie teaching SM.
